The digital DeCA is mandatory: in force since 5 October 2026

Since 5 October 2026 a paper control document without a QR code for direct access to the DeCA PDF is no longer valid. If your driver cannot show the digital DeCA at a roadside check, the truck is stopped and the liability sits with your company.

How it works

The whole solution in four steps.

From registering your company to the DeCA on your driver's phone.

  1. 1. Sign up

    Create your company account and pick your licence model.

  2. 2. Add your drivers

    Invite your drivers by SMS or email. They then pick their own language and channel.

  3. 3. Create the DeCA

    Fill it in at the portal, do it together with the driver, or upload the PDF your software already produces.

  4. 4. Send it to the driver

    Pick the driver and the DeCA reaches them at once by SMS, WhatsApp or email.

Once their registration is confirmed, the driver automatically receives their DeCA on their phone. There is no app to install: they confirm receipt and, at a roadside check, show the QR code included in the document.

I already have the PDF

Upload the PDF your ERP or transport software produces. DeCA Portal puts the QR cover page in front of it and sends it to the driver.

I want to fill it in here

Enter the data in the portal. Carrier, vehicles and trailers come from your master data, and the portal produces the PDF with its QR code.

Let the driver complete it

You enter the basics and send the DeCA to the driver. They fill in what only they know from their phone; the official document is produced at the end.

Afterwards you can copy a DeCA, keep it as a template, print it for anyone who does not want it digitally, or connect your own software through the API.

The regulation

The legal basis is Law 9/2025 on Sustainable Mobility. Spain's Ministry of Transport formally set out the technical requirements on 5 June 2026.

What transport companies ask us about the DeCA.

What is the DeCA?
The DeCA (Documento electrónico de Control Administrativo) is the mandatory digital version of the control document that accompanies every road freight movement in Spain. Since 5 October 2026 it must be presented as a PDF with a QR code. Paper without a QR code for direct access to the DeCA PDF is no longer valid.
What do I need in order to use it?
Register your company on the platform and invite your drivers so they can access the digital document.
How is the document delivered?
Upload the PDF to the portal and assign it to a driver. The driver receives a link to the PDF, which carries a QR code for direct access to the document. The file is also available without an internet connection.
What happens at a roadside check?
The driver shows the QR code on their phone. The inspecting authority scans it and reaches the stored document directly. The link is valid for 14 days; the rules ask for at least 7.
Does the solution comply with data protection law?
Yes. The solution complies with European and Spanish data protection rules. Storage and processing take place inside the EU.
How is the DeCA sent to the driver?
The driver can receive the link by SMS, email or WhatsApp.
Which languages is the solution available in?
The web platform is available in Spanish and English. The driver view comes in eleven languages: Spanish, Catalan, Basque, Portuguese, Polish, Romanian, Ukrainian, Italian, French, English and German.
Can documents also be sent through an API?
Yes, an API is available. Get in touch for more information.
What does the service cost?
Billing is per document. The price depends on volume: from €0.09 per DeCA with monthly payment and from €0.08 with annual payment. You get 15 free DeCAs when you sign up; register for the newsletter first and you get a code for 50 free DeCAs.
How do I produce a PDF if until now I have only printed my documents?
Use the standard Windows function to save a document as a PDF, a tool such as PDFCreator, or our DeCA PDF generator, which works right in your browser. Get in touch if you need a hand.
Who runs DeCA Portal?
DeCA Portal is run by Go4Future Consulting e.U., a company specialised in digitisation. Your data is protected and processed in line with data protection law.
Do I have to bring the DeCA as a PDF?
No. You can fill the DeCA in at the portal, using your master data for carriers, vehicles and trailers, or send it to the driver to complete. DeCA Portal produces the PDF with its QR code. If your system already produces the PDF, upload it as before.
Can the driver fill in the data?
Yes. You enter the basics and send the DeCA to the driver, who fills in from their browser what only they know, such as the trailer number plate or the loading time. The official document is produced once the data is complete. The driver installs nothing.
What if something changes during the journey?
Create a new DeCA as a copy of the original. Note that the driver has to receive the new DeCA before carrying on; corrections written by hand on a printout are not valid.
